Executive Assistant

One of the largest real estate development companies, with a diverse portfolio of multifamily and commercial properties, is currently looking for a professional, motivated, and organized Executive Assistant to the CEO.  This position is based in Nassau County, Long Island.

These are some of the things you will do in this job:

  • 50% of tasks are assisting the CEO with personal duties include the management of residential staff, payment of invoices, contract negotiation, tracking of contracts, investments and banking, personal and family calendaring, travel arrangements, and event planning.
  • Liaise and collaborate with executive management to ensure that CEO is kept apprised of all business matter and pending projects.
  • Oversee handling of correspondence as it relates to the Office of the CEO, and compose documents on the CEO’s behalf, as necessary, while recognizing the sensitivity and confidentiality of said correspondence.
  • Supervise one Receptionist and at other times other Admins as it relates to the reception desk. Scheduling coverage, mediate conflict, identify performance gaps and implement appropriate plan of action, track office expenses, approve office schedules, and oversee capital projects.
  • Conduct research for special projects and submit proposals for consideration.
  • Plan and organize all corporate special events.
  • Develop and implement effective systems for business processes (i.e., management of databases and files).
  • Administrative responsibilities include arranging business travel and scheduling meetings and ensuring preparation and necessary follow up.



  • 7-10 years of experience in an Executive Assistant role
  • Notary public
  • Excellent oral and written English communication skills
  • Highly flexible; able to work on multiple projects simultaneously while meeting deadlines
  • Excellent organizational and interpersonal skills. Must be able to handle confidential information with complete confidence of management
  • Thrives in a fast-paced environment
  • PC literate, analytical
  • Proficient in Microsoft Office – including Outlook, Word, Excel, Office 365
  • Professional demeanor
